Mindset Check
Before you speak, ask yourself:
Am I trying to help them grow?
Am I focusing on facts and behaviors?
Am I creating space for two-way conversation?
Positive Feedback Prompts
Reinforce what’s working. Be specific. Be generous.
“One thing I really appreciated this week was…”
“You handled (X situation) really well—it showed (Y quality).”
“That update was super clear and proactive—exactly what we need more of.”
“Keep doing (X)—it’s making a big difference in (Y area).”
Constructive Feedback Prompts
Address what’s not working, without creating fear or shame.
“Can I share something I noticed that we could tweak?”
“I think there’s an opportunity to improve how we handle (X).”
“Here’s what I saw / what happened…”
“What do you think caused that? How would you handle it differently next time?”
“I want to flag this early so we can fix it before it becomes a bigger issue.”
“Let’s come up with a game plan to improve this.”
Two-Way Conversation Starters
“How did that feel for you?”
“What do you think worked well, and what didn’t?”
“What do you need from me to improve in this area?”
“Is there anything I could be doing differently to support you?”
Bonus Structure (SBI Model)
Use this when you need to deliver feedback clearly and calmly:
S – Situation: “During yesterday’s client call…”
B – Behavior: “…I noticed you cut in while they were explaining their concerns.”
I – Impact: “…It gave the impression we weren’t fully listening.”
“Next time, let’s pause and let them finish before offering a solution. How does that sound?”
